Why Staff Cannot Find Answers

Answers sit in files nobody searches

Most firms hold their answers in files: policies, price sheets, past proposals, onboarding notes and the email threads where a decision was made. The staff member who needs an answer searches by memory, asks the person who wrote the file, or guesses. Each of those costs time and sometimes gets the answer wrong.

A knowledge base is meant to fix that. The risk is that a badly built one answers confidently from the wrong file, or shows a file to someone who should never see it.

What Retrieval Means Here

The model reads only what you approve

RAG stands for retrieval-augmented generation. In plain terms, the system first finds the passages in your approved files that match a question, then has the language model write an answer using only those passages. The model does not browse the open web for the answer and does not fill gaps from its own memory.

That design matters because it lets every answer point back to the passage it used. If no passage matches, the right reply is that the files do not say, not a plausible guess.

Document Sources And Permissions

Access follows each person's files

The index mirrors the permissions the files already have. A person sees answers drawn only from files they are allowed to open, and the permission check runs when the question is asked, not once when the index was built.

GIOSTAR brand hub, a system I built
  • Permissions checked at query time, not at index time
  • Files a person cannot open never appear in their answers
  • Removed access takes effect on the next question
  • Shared folders indexed only where the owner approves
  • No public web search mixed into private answers

Citations On Every Answer

Every answer names its source

Each reply lists the file and the section it came from, so a person can open the original and check it before they act. An answer without a source is not shown, and a reply that cites a file the person cannot open is treated as a permission failure and logged.

How The Build Runs

Five steps from file list to live

1. List the files

The work starts from the folders the team actually uses, not from every file on the server, and mark which ones are current.

2. Set the permissions

I map who can open each folder today, and the index is built to match, not to widen, that access.

3. Index and cite

The files are indexed with section breaks kept, and every answer is set to show its source.

4. Test with real questions

The staff questions from the past month run against the index, and each wrong or uncited answer is fixed before launch.

5. Keep it current

Files added, changed or removed are reflected in the index on a set schedule, and the owner sees the update log.

Private Knowledge Base Security

Private files stay private

A private index is a copy of your files, so it is held in accounts you own and kept under the same rules as the originals. Deleting a file removes it from the index, and the removal is logged. Whether a particular file type or record has its own legal handling rules is a question for your counsel, and the scope names those files so they are kept out until that is settled.

Closest Work I Can Show

Closest work and what it was not

I have not yet built a client retrieval system that I can show you. The nearest working systems are my own operation, which files every automated step in a log you can open, and the gated pipelines on the work pages. Those show the citation and logging discipline a knowledge base needs.

They do not show a client's retrieval results, and I do not claim any. Before I quote, I ask for the file list and test it against a sample of real questions, so you see the answer quality on your own material.

GIOSTAR: the clinic website, booking and lead tracking

I built and run giostarwellness.com for a regenerative medicine and wellness clinic in Henderson: every service page, online booking, financing and a blog. A website lead is tracked end to end, from the form to a booked consult to an active patient, with no manual steps. I also built its live brand hub, so every page, post and print piece pulls the same colours, type and rules.

After going back and forth on whether to bring in outside help, we ended up working with Justin for some AI consulting on how to structure our operations. He laid out a clear plan, didn't overcomplicate it, and we've been running smoother since. Good fit for a service business. He knows Las Vegas and he knows this stuff.

Justin joined our team a few months before opening to replace a marketing agency that wasn’t performing. He stepped up fast. Within weeks he launched a fully redesigned website with new brand guidelines, built and delivered our marketing plan and AI strategy, and helped implement our system architecture so we could open on time. Since then, he’s made several critical enhancements to the site that helped us generate revenue in our first month. His engagement was supposed to end at opening, but he became such an integral part of our leadership team that we kept him on to help evolve our marketing and tech strategy as we grow. He’s easy to work with, pushes back when it matters, and moves easily between strategy, delivery, and operations depending on what’s needed. If you’re looking for a deeply experienced, knowledgeable, and dedicated marketing, AI, or technology consultant, I highly recommend Justin Harris AI Consulting.

From what I've seen, Justin knows the AI automation space better than most people I've come across in Las Vegas. He's the kind of person who actually understands the technical side and can explain it without making you feel lost. Good guy, good reputation.

I've Known Justin for a while now and he really knows his stuff when it comes to AI consulting. If people in Las Vegas were to ask me for recommendations in this space, he's the best guy for the job, hands down.

After going back and forth on whether to bring in outside help, we reached out to Justin for some AI consulting advice on where our service business could actually use automation. He was straightforward about what made sense and what didn't. Ended up being a useful conversation. Las Vegas has no shortage of people claiming to be experts, and he's one of the few who could back it up.

Knew Justin before he started building AI systems for businesses, and watching what he's put together is genuinely impressive. He built out an AI automation setup for my website in Las Vegas and it changed how we handle leads completely. The guy actually runs this stuff himself, so he knows what works.

RAG Development Cost

What sets the price

I quote a fixed price for a written scope after I have seen the file list and the permission model. A clean set of current folders is a different job from years of mixed drives with unclear ownership, so a flat price would be wrong for both.

WebVegas homepage, a website I built
  • Number of folders and files in scope
  • How clean the files are and how often they change
  • Permission model and how many groups it has
  • Home for the index, hosted or private
  • Monthly index review after launch

Accuracy Testing

Questions the staff really ask

The test set is built from questions your staff actually asked in the past month, plus the ones that caused trouble. Each answer is checked for two things: whether the cited passage says what the answer claims, and whether the answer stops when the files do not cover the question. A system that answers everything fails this test.

Keeping The Index Current

Files added, changed and removed

A knowledge base decays when its files move on and the index does not. The index refreshes on a schedule the owner approves, and every refresh writes a short log of what was added, changed or removed, so a stale answer can be traced to a stale file.

Who Builds The Knowledge Base

One builder from files to answers

I am Justin Harris. I have built websites and run digital marketing for Las Vegas businesses for fourteen years, and I build the permission model and the citation rules myself. You talk to the person who maps your folders, not to a handoff team.

Other AI work I build

A document index often sits beside data, integration and governance work. Each card below opens its own page, and the consulting page is the place to start if the files are only part of the question.

Where Scoping Starts

One document set and one team

The first conversation picks one set of folders and the team that uses them most. That scope is small enough to test well, and the results show whether the wider set is worth indexing next.

RAG Development Next Step

A file list before any index

Send me the folders your team searches most, and I will reply with a written plan: the permission map, the test questions, the home for the index and the scope. You decide before anything is indexed.
