HubSpot Implementation

A HubSpot Setup Teams Use

HubSpot implementation sets up the pipeline, properties and lead owners around the way leads really move through the firm. Every stage is tested with sample records before anyone is asked to work in it.

HubSpot Implementation Services

A HubSpot implementation is the work of turning an account into a working sales system. That means the pipeline stages match how the firm actually sells, the contact and company fields hold what the team needs, and every new lead lands with an owner and a next step.

I do the setup as one project. The design comes first, then the build, then the import, then the training. Each stage is written down, so the firm knows what was built and why when the work is finished.

Who Needs a HubSpot Implementation

Firms that bought the tool and stalled

The firm I write for usually owns a HubSpot account that was set up quickly, or set up by someone who has since left. The contacts are there, the deals are partly entered and the team is not sure which fields to trust. Some are moving from spreadsheets and want the first version built correctly.

A common trigger is a growing team that has outgrown its shared inbox and its spreadsheet at the same time. The question is then not whether to use HubSpot, but how to set it up so the people who sell it trust the numbers.

The Fear of a CRM Nobody Uses

A system the team avoids

The fear is that the firm pays for a tool and the team keeps working from memory and email. That fear is common, and it usually has a clear cause: the pipeline does not match the way the team sells, so entering a deal feels like paperwork. When the tool asks for fields nobody needs, people skip them.

The fix starts with the sales steps, not the software. The setup follows the steps the team already takes, adds only the fields a report needs, and gives each person one place to see the next task. Adoption is planned, not hoped for.

What the Setup Covers

The parts a complete build includes

A complete setup covers the working parts of the account, from the first form to the final report. Each part is listed in the written scope, so the firm can see what is included before it signs.

WebVegas homepage, a website I built
  • Pipeline stages and deal properties
  • Contact and company fields, with duplicates removed
  • Lead routing, owners and task rules
  • Forms, booking links and the source on each record
  • Import of existing records, with a sample check
  • Owner dashboard and team training session

How a HubSpot Implementation Runs

How the setup moves from design to use

  1. Step 01

    Step one: the sales walk

I sit with the people who sell and map each step a lead takes, from first contact to signed client, and note where the work stalls.

  2. Step 02

    Step two: the build

Pipelines, fields, owners and forms are built in a test copy first, so nothing reaches the live account until it is checked.

  3. Step 03

    Step three: the test

Sample records are pushed through every stage, every form and every routing rule, and each failure is fixed and retested.

  4. Step 04

    Step four: the handover

The team is trained on the live account, and a written guide is left behind for the first month of daily use.

Pipeline and Property Map

Each stage with its rule

The map below shows the kind of plan the design step produces. Each stage has a rule for entering it and a field that proves it. The finished map is signed off by the owner before the build starts.

Data Cleanup Before Import

Clean records before they move

Importing a messy list brings the mess into the new system. Before any import, duplicate contacts are merged, obvious errors are fixed and records with no name or no way to reach them are set aside. The cleanup is shown to the owner as a count before and after, so the change can be checked.

Historical deals are imported only where the source data is reliable. Where it is not, the report says which records were left out and why, so nobody builds a forecast on a guess.

Lead Routing and Owners

Every new lead has one owner

A lead with no owner is a lead that waits. Routing rules assign each new record to a named person by service, area or round robin, depending on how the team works. The rule also starts the first task and sets the reply window the team agreed on.

The routing is tested with sample leads from each source. If a lead lands with the wrong owner, the rule is corrected and the test is repeated before the change is trusted.

GIOSTAR: the clinic website, booking and lead tracking

I built and run giostarwellness.com for a regenerative medicine and wellness clinic in Henderson: every service page, online booking, financing and a blog. A website lead is tracked end to end, from the form to a booked consult to an active patient, with no manual steps. I also built its live brand hub, so every page, post and print piece pulls the same colours, type and rules.

After going back and forth on whether to bring in outside help, we ended up working with Justin for some AI consulting on how to structure our operations. He laid out a clear plan, didn't overcomplicate it, and we've been running smoother since. Good fit for a service business. He knows Las Vegas and he knows this stuff.

Justin joined our team a few months before opening to replace a marketing agency that wasn’t performing. He stepped up fast. Within weeks he launched a fully redesigned website with new brand guidelines, built and delivered our marketing plan and AI strategy, and helped implement our system architecture so we could open on time. Since then, he’s made several critical enhancements to the site that helped us generate revenue in our first month. His engagement was supposed to end at opening, but he became such an integral part of our leadership team that we kept him on to help evolve our marketing and tech strategy as we grow. He’s easy to work with, pushes back when it matters, and moves easily between strategy, delivery, and operations depending on what’s needed. If you’re looking for a deeply experienced, knowledgeable, and dedicated marketing, AI, or technology consultant, I highly recommend Justin Harris AI Consulting.

After going back and forth on whether to bring in outside help, we reached out to Justin for some AI consulting advice on where our service business could actually use automation. He was straightforward about what made sense and what didn't. Ended up being a useful conversation. Knew Justin before he started building AI systems for businesses, and watching what he's put together is genuinely impressive. He built out an AI automation setup for my website in Las Vegas and it changed how we handle leads completely. The guy actually runs this stuff himself, so he knows what works.

What Clients Said About My Work

A plain answer from a client

Yaneliz M. wrote that I "didn't overcomplicate it" when she asked for advice on AI automation for her workload. A CRM setup is judged the same way. The team should be able to explain the pipeline in two minutes, and the owner should be able to read the first report without a guide.

How Much Does HubSpot Implementation Cost

How the quote is built

I quote a fixed price for a written scope after a free look at the current account, the sales steps and the records to be moved. The scope lists each pipeline, each form, each import and each training session, so the firm can see the cost before work starts.
