Call Tracking

Know which ad made the call

Call tracking shows which ad, page or listing rang the phone. I set up the numbers, connect them to the call logs and send a readout by source, so the calls can be traced instead of guessed at.

Call Tracking Software

What the software does

Call tracking software gives each marketing source its own phone number. When someone calls that number, the software forwards the call to your main line and records where the call came from, how long it lasted and, if you turn it on, a recording. The numbers and the logs live in an account you can open.

The point is attribution. A call that arrives with no source is a call nobody can credit to a campaign, and a business that cannot credit its calls cannot decide where to spend next month.

How Call Tracking Works

A number for each source

Each ad, page, listing and print piece gets a number of its own. The sources share one front desk, so staff answer the same way no matter which number was dialed.

Dynamic number insertion

The number on a web page changes to a tracking number based on how the visitor arrived, so the call carries the source.

Unique numbers per campaign

A search campaign, a social campaign and a print ad each get a number that is used nowhere else.

Call logs and recordings

Every call is logged with the number dialed, the time, the length and the source, and recordings are kept only where the law allows.

Call routing

Calls ring the right person or the right line, with a voicemail fallback so no call from a source is lost.

Website Call Tracking

Calls from pages, not just ads

Many calls come from the website, not from an ad. A visitor reads a page, taps the number and calls. Dynamic number insertion shows that visitor a tracking number, so the call can be linked to the page and the search or link that brought the visitor there.

Two checks matter here. The number on the site has to match the number on the business's listings, so search engines and visitors see one consistent phone. And the tracking has to respect the visitor's privacy settings, with consent handled the way the site's policy says.

Google Call Tracking

Calls from Google ads and listings

Google shows calls from its own ads and from the business profile on Google Maps and search. Google reports some of those calls itself, but not all of them, and not always by the source you care about. A call tracking number on the ad or the page fills that gap, with the source stated on the call log.

Ad numbers can be attached to a Google Ads campaign, and the call records can be read beside the clicks. That lets a call be judged next to the search term that produced it.

Call Tracking Numbers Local Search

Local numbers on local listings

A business's name, address and phone number have to match across its listings. A tracking number on a directory listing can confuse the matching and split the reviews and calls across two records. For that reason the main number usually stays on listings, and tracking numbers are used on ads, pages and the sources that can carry them safely.

Free Call Tracking Options

What free tools leave out

Some phone providers and ad platforms offer basic call reporting at no extra charge. It is useful for a first look. It usually shows fewer sources, shorter log history and little control over which number goes where. A free report answers how many calls came in. It does not always answer which page or campaign sent them.

What Call Tracking Costs

What moves the cost

The tracking software is billed by the provider, and it is shown as its own line. My setup and monthly readout are a fixed price for a written scope. I do not publish a number, because the total moves with the setup.

A storefront street in the Valley
  • How many tracking numbers the sources need and how many lines they ring
  • How much call history and how many recordings are kept
  • How many websites, landing pages and listings carry a tracking number
  • How complex the call routing is, from one line to several staff groups
  • How often the readout is sent and how much detail it carries

What a Call Log Shows

The readout line by line

A call log is a list of every call with the fields below. The monthly readout summarizes those rows and points to the ones that matter, so an owner can see which source rang and which did not.

WebVegas homepage, a website I built
  • Source, meaning the ad, page or listing that carried the number
  • Date, time of day and the length of each call
  • Whether the call was answered, went to voicemail or was missed
  • The tracking number dialed and the line it rang
  • A recording link, where recording is on and allowed

Number Pool Setup

Numbers assigned per source

  1. Step 01

    List the sources

Every ad, page and print piece that will carry a number is listed, with the owner of each one.

  2. Step 02

    Assign the numbers

Each source gets a number from a pool, and no number is shared between two sources.

  3. Step 03

    Route and test

Calls are routed to the right line, and every number is dialed from a test phone to confirm the log shows the source.

  4. Step 04

    Read and adjust

The first readout shows which sources ring, and numbers are reassigned or retired on the plan.

Monthly Call Tracking Report

What the monthly readout contains

The readout is one page, sent once a month, with the same layout each time so the trend is easy to read. It opens with the total calls and the calls by source, then lists the sources that rang the most and the sources that rang the least, with the reason each one is kept or changed.

A second section lists calls that were missed, went to voicemail or came from a number that was no longer assigned. Those rows are the ones that most often hide a lost sale, so they are reported in full. The last section lists the change I made in the month and the one I plan for the next.

Builds you can open and check

The builds below are real and each link goes to the live work. GIOSTAR is a clinic site with calls and forms tracked from the page, and it is the closest build to this service. I do not claim a call-tracking result I cannot show.

GIOSTAR: the clinic website, booking and lead tracking

I built and run giostarwellness.com for a regenerative medicine and wellness clinic in Henderson: every service page, online booking, financing and a blog. A website lead is tracked end to end, from the form to a booked consult to an active patient, with no manual steps. I also built its live brand hub, so every page, post and print piece pulls the same colours, type and rules.

After going back and forth on whether to bring in outside help, we ended up working with Justin for some AI consulting on how to structure our operations. He laid out a clear plan, didn't overcomplicate it, and we've been running smoother since. Good fit for a service business. He knows Las Vegas and he knows this stuff.

Justin joined our team a few months before opening to replace a marketing agency that wasn’t performing. He stepped up fast. Within weeks he launched a fully redesigned website with new brand guidelines, built and delivered our marketing plan and AI strategy, and helped implement our system architecture so we could open on time. Since then, he’s made several critical enhancements to the site that helped us generate revenue in our first month. His engagement was supposed to end at opening, but he became such an integral part of our leadership team that we kept him on to help evolve our marketing and tech strategy as we grow. He’s easy to work with, pushes back when it matters, and moves easily between strategy, delivery, and operations depending on what’s needed. If you’re looking for a deeply experienced, knowledgeable, and dedicated marketing, AI, or technology consultant, I highly recommend Justin Harris AI Consulting.

Call Tracking Services

What I do on a tracking setup

  1. Step 01

    Number setup

Tracking numbers built for each source and tested before any ad or page carries them.

  2. Step 02

    Call routing setup

Calls sent to the right person or line, with voicemail set so no call from a source is lost.

  3. Step 03

    Log review

A check of the call logs for missed calls and mismatched sources, fixed before the readout goes out.

  4. Step 04

    Monthly readout

Calls by source, with the sources that did not ring named as plainly as the ones that did.

Call Tracking for Service Businesses

Calls that decide the sale

For a dental office, a law firm or a home-services company, the phone call is usually the sale. A call from a search ad for an emergency and a call from a listing for a second opinion have different values, and the business needs to know which source sent which.

GIOSTAR brand hub, a system I built
  • A dental or medical office tracking new-patient calls by ad and listing
  • A law firm tracking intake calls by practice area and source
  • A home-services company tracking emergency and estimate calls by crew area
  • A professional practice tracking consultation requests from pages and ads

Call Tracking Setup Step by Step

How a tracking line is set up and checked

Step one is an inventory of every number already on the site, the Google profile and the ads. Step two is assigning a tracking number to each source, so a call from a search ad is separated from a call from a listing. Step three is routing: each number forwards to the line that answers it, with the recording setting you choose.

Step four is a test call from each number and a check that the log shows the source. Step five is the monthly review, where the calls are matched to the campaigns and any number that never rings is reviewed for placement.

Call Tracking Beside Other Channels

The work that sits next to a line

Call tracking reads the calls that search, ads and pages produce, so it sits beside those services. Each one has its own page, and the advertising agency hub lists them all.

Set Up Call Tracking

Numbers and logs before spend

Send me the sources that bring you calls today and the number of lines your team answers. I will reply with a written read of the numbers I would assign, the logs I would set up and what I would check first.
